Normalize equipment capacity and configuration
Compare equipment family, capacity basis, staging, efficiency or performance criteria, heating source, voltage, refrigerant where relevant, accessories, outdoor-air features, redundancy, and compatibility. Similar model labels can hide different options. Ask how final selections respond to load, existing infrastructure, controls, dimensions, access, and the facility goal rather than treating nominal capacity as the entire technical decision.
Match quantities and physical limits
Count units, zones, controls points, valves, dampers, sensors, filters, curbs, adapters, duct sections, piping, drains, disconnects, and other major deliverables. Confirm which floors, areas, or phases are included. Proposal totals can differ because one omits an asset or uses an allowance. Connection scope can range from minor adaptation to extensive modification. Compare duct transitions, insulation, piping, valves, pumps, refrigerant lines, gas, condensate, drains, power, disconnects, starters, panels, and utility upgrades. Identify code or condition assumptions and the responsible trade. “Reconnect existing” should be clarified when existing infrastructure has not been verified.
Expose controls and BAS differences
Thermostats, sensors, controllers, actuators, interlocks, safeties, alarms, network integration, graphics, trends, sequences, point mapping, and commissioning can materially change delivery. One proposal may include local controls only; another may include BAS integration. Compare exact responsibilities and verification. Controls/BAS owns programming details, but the project comparison must show where the interface starts and ends.
Review assumptions, exclusions, and allowances together

Compare stated dependencies and sequence rather than relying on one headline duration. No proposal can responsibly guarantee every external date before approval and procurement. Ask what events start and pause the schedule and who owns each dependency.
Match startup, commissioning, and performance proof
Compare leak tests, evacuation or charging, electrical checks, rotation, flows, temperatures, pressures, safeties, alarms, control sequence, balancing, commissioning, and representative zone performance. A proposal that ends at equipment startup is not equal to one that includes system integration and occupied verification. Identify specialist testing and final acceptance responsibilities explicitly.
Review closeout and actual coverage documents
Equipment data, startup records, settings, readings, photographs, as-built updates, training, maintenance requirements, and actual manufacturer or workmanship coverage documents can be deliverables. Compare what will be provided and when. Do not infer a warranty from marketing language. Coverage questions should be confirmed from the proposal and issued documents, with legal interpretation left to appropriate reviewers.
Record clarification before final selection
